Event Execution, Risk, and Communication

This unit focuses on translating event plans into reliable, participant-centered experiences by managing operational details, communications, and risks. Students will integrate contingency planning, vendor negotiation, hybrid/webinar facilitation, and cross-cultural hospitality to execute events professionally and ethically.

Learning Objectives

• Analyze operational and legal risks for an event and produce a risk-mitigation plan that includes insurance recommendations, emergency response procedures, and contingency strategies for common failures and customs/security issues
• Develop and implement multi-channel communication and engagement artifacts (email templates, recorded messages, surveys, hybrid/webinar checklists, and signage) to manage attendees, speakers, and stakeholders before, during, and after events
• Apply logistical and vendor-management skills to create an event-day run sheet, exhibit/AV setup plan, and negotiated vendor summaries that incorporate cost controls, service-level expectations, and contingency clauses
• Evaluate and adapt event activities for cultural, language, and accessibility needs and demonstrate effective interpersonal techniques (active listening, patience, silence, and appropriate entertainment/hospitality) and negotiation styles through role-played scenarios
